Support Assistant/Receptionist

1)     Objective of the Role

The incumbent is expected to perform responsible, sometimes confidential duties and routine administrative functions, including taking phone calls and directing them to the appropriate Department or officer, as well as performing simple billing, managing inventory, sorting and delivering mail, updating websites, handling database entry and correspondences, sending emails to the appropriate department and the keeping of attendance records

2)     Main Tasks and Duties

·        To welcome visitors/clients

·        To operate PABX, direct calls to appropriate departments

·        To attend to/answer queries about the organisation

·        To help organise office activities

·        To operate office machines, including photocopiers, scanners, fax machines, voice mail systems and personal computers

·        To operate franking machines

·        To retrieve files for staff

·        To perform data entry

·        To manage the attendance record system

·        To sort and distribute incoming mail

·        To take and deliver messages

·        To prepare despatch

·        To assist in filing duties

·        To perform basic financial bookkeeping duties

·        To restock supply closet with printing paper, ink, pens, paper clips, staplers, files, folders and correction fluid

·        To manage stationery and asset inventory

·        To assist in the preparation of refreshment for visitors and clients, as and when required.

·        To provide support in administrative duties, attendances, leaves forms

·        To issue, send and post receipts for payment received

·        To prepare payment vouchers, utilities, cheques, cash lodgments and remittance advice

·        To assist in the processing medical claims

·        To act as Brand Ambassador for the NPCC

·        To participate and assist in the activities of the NPCC.

3)     Qualifications

·        A Cambridge School Certificate

4)     Experience

·        At least 2 years‟ experience in a similar environment field

5)     Salary Scale:

Rs 18,980 x 440 - 20,740 x 550 - 24,040 x 650 - 27,290 x 870 - 35,990 x 1,090 - 37,080

 

1.     The post will be on the Permanent and Pensionable Establishment with an initial probation period of 12 months (Conditions apply).

2.     The candidate will normally join the starting point of the Salary Scale.

3.     Candidates should not be more than 45 years of age by the closing date for submission of applications.

4.     The retained candidate will benefit from a Medical Insurance Cover and 24 hours General Insurance Scheme.
